The Role
The Accounting Assistant is responsible for ensuring accurate payroll processing, employee onboarding in ADP Workforce Now, benefit administration, and handling accounts payable transactions across multiple entities. This role supports the Finance department by maintaining precise records, handling employee inquiries, and ensuring timely submission of payroll, benefit contributions, and payments.
What You’ll Be Doing
Payroll & Employee Support
- Complete new hire onboarding in ADP Workforce Now, including entering employee data, setting up tax documents, and enrolling employees in benefit plans.
- Serve as the Payroll Specialist for multi-company, bi-weekly payroll: compile pay data, confirm accuracy, calculate adjustments, and submit payroll for processing.
- Maintain and monitor employee PTO balances in ADP Workforce Now
- Submit weekly 401(k) contribution transactions and ensure reconciliation against payroll data.
- Respond to employee payroll and benefits inquiries in a professional and timely manner.
Benefits & Program Accounting
- Reconcile Teledoc billing and ensure accurate invoicing and employee eligibility.
- Track benefit invoices, verify headcount and eligibility, and route invoices for approval.
Accounts Payable & Expense Processing
- Review, code, and process vendor invoices and payments through Ramp Plus.
- Oversee Ramp Plus credit card expense workflows, ensuring receipts and expense submissions are reconciled and coded correctly.
- Process weekly fuel card transactions: match receipts, code expenses, and audit transactions for accuracy.
- Maintain vendor records, ensure W-9 documentation is collected, and assist with year-end 1099 preparation.
General Finance & Administrative Support
- Assist with month-end close tasks including reconciliations related to payroll, fuel cards, credit card expenses, and accounts payable.
- Maintain accurate and organized digital documentation and audit-ready support files.
- Support the finance team on ad hoc projects, reporting, and data entry as needed.
- Participate in process improvements to streamline accounting, payroll, and expense workflows.
What You’ll Need
- Associate degree in Accounting, Business Administration, or related field (Bachelor’s preferred).
- 2+ years of payroll or accounts payable experience; experience with multi-company payroll is a plus.
- Extensive experience with ADP Workforce Now required.
- Extensive experience with Quickbooks Online required.
- Experience with RAMP Plus preferred
- Proficiency in accounting software and Microsoft Excel.
- Strong attention to detail, accuracy, and confidentiality.
- Excellent communication and customer service skills.
- Ability to prioritize tasks, meet deadlines, and adapt to changing priorities.
